Importing Data to PostEverywhere

PostEverywhere allows you to import information in two common formats, tab-delimited or comma-delimited.

If the import file has a header row, the headers much match PostEverywhere headers. To find out the correct header format for the type of data being imported, first export the same type of data and check the box to include headers. When using headers the import file only needs to contain the required fields and the fields can be in any order.

If the import file does not have a header row then all fields must be included and in the correct order. To find out the correct number of fields and their order, first export the same type of data in detail format.

When importing data PostEverywhere automatically strips all double-quotes and any commas that are inside double quotes in the import file.

Note: There is no export function for Email lists. The headers for Email lists are as follows:
memberName, account. Headers are case sensitive, notice the capital N in memberName.

General Import Instructions

  1. To import a file to PostEverywhere go to the area for the type of data you wish to import. For example, to import an Email list for sending loads to, press the Setup button on the left, then press the Load Email button that unfolds below it. To import active truck listings, press the Trucks button on the left to go to the Active Trucks area.
  2. Now select File->Import from the File menu to open the Import File window. Select either the comma-delimited or tab-delimited format, depending on type of file being imported, then press the Import button.
  3. When the select file window opens navigate to the folder where the import file is located and select the file to be imported, then press the Open button to import the file.
  4. After opening the file PostEverywhere will check the records for errors. Records without errors will have a green check mark next to them, while those with errors will have a red X. Pressing the OK button will save the records. Pressing the Post button will save the records and start the posting process for Imported loads or trucks. To edit an imported record, select it from the list and press the Edit button.

Troubleshooting

The error message "The import file does not contain the correct number of columns" is typically caused by having an incorrect number of commas or having commas within your data. Check the data for extra commas and for commas within the data, then retry. If the file is tab-delimited, check that the file includes the correct number of tabs.

Excel will frequently lose the commas that define empty fields at the end of a record. Adding data (one character will do) to the last field will prevent this from occurring.
